A useful support chatbot helps a customer reach a correct answer or the right person. Start by identifying a narrow group of questions that your team can already answer consistently. Broad promises about replacing support staff are a poor substitute for understanding those requests.
Collect the approved answers, product details, and process instructions needed for the selected questions. Resolve contradictions and assign someone to keep that material current. An assistant connected to outdated information can give a fluent answer that still sends the customer in the wrong direction.
Decide whether the assistant only answers questions, prepares a draft request, or can make changes in another system. Keep account-specific information behind the appropriate access checks. Identify which actions require confirmation and which cases must go to a person.
When the assistant cannot resolve a request, the receiving team should get the question and relevant conversation context. Let the customer know what happens next. Avoid an endless loop in which the assistant asks for information that has already been supplied.
Review answer accuracy, successful handoffs, customer corrections, and time spent by staff checking responses. Keep operating costs visible. Use the pilot results to decide whether to expand the assistant or improve the supporting information first. Ajwa can help connect an enquiry workflow to the systems your team already uses.
